Who we are

Relief Chefs UK is the trading name of Reliefchefs LTD, company number 14875154, registered office 95 Highland Terrace, Uffculme, EX15 3EW. We are the controller of the personal information described here. We are registered with the Information Commissioner’s Office (ICO) as a data controller, registration number ZC269716. Contact us about anything in this policy at info@reliefchefs.co.uk or on 01392 715474.

What we collect

Everyone who uses the app

  • Your login: email address and password (the password is held by our sign-in service, never visible to us).
  • The agreement you signed, with the name you typed and the date.
  • Messages you send to a venue or chef through the app, and any message you report.
  • Bookings, shift times, clock-in and clock-out times, hours approved, invoices and payments.

Chefs

  • Your name, profile, professional details, rates, availability and the area you work from (a postcode area, not your address).
  • A profile photo and food photos, if you add them.
  • Documents you upload for verification, such as proof of right to work, food-safety certificates and ID.
  • Your bank details for being paid. These go to Revolut, our payment provider, which checks the name on the account. We keep only the name on the account and its last four digits.

Venues

  • Your name, job title, business email and phone number; your business’s name, address and billing contacts; each venue’s address, contact details and arrival instructions.
  • Card payments are made on Revolut’s own secure page. We never see or store card numbers.

The app does not use your phone’s location, camera or microphone, and it contains no advertising or tracking.

Why we use it

  • To provide the service you signed up for (performing our contract with you): matching chefs and venues, bookings, timesheets, invoices, payments and messages.
  • To meet legal obligations: checking a chef’s right to work, keeping tax and accounting records.
  • For our legitimate interests: keeping the platform safe, handling disputes and reports, and preventing fraud.

Who we share it with

  • The other side of a booking. Before a booking is confirmed, a venue sees a chef’s first name and initial, and a chef sees the type of venue and its area. Full names are shared once a booking is confirmed.
  • Revolut, to take card payments and to pay chefs by bank transfer.
  • Our hosting provider, which runs the servers and database the app uses.
  • Apple, which delivers the app to your phone.
  • Authorities, where the law requires it.

We do not sell personal information.

How long we keep it

InformationHow long
Invoices, payments, fees and VAT records6 years after the end of the financial year
Bookings, timesheets and hours decisions6 years after the shift
Signed agreements6 years after the account closes
Messages2 years, longer only while a dispute about that shift is open; reported messages are kept as evidence. If you delete your account, the other person can no longer see your messages; only Relief Chefs staff can, with a recorded reason, until they are deleted
Right-to-work, food-safety and other documentsWhile the chef’s account is open, then 1 year
Sign-ups that never reached a booking12 months after last use, then closed and deleted
Accounts not usedClosed and deleted after 2 years without use

Deleting your account

You can delete your account at any time in the app: chefs under Profile, Settings, venues under More. It stops working straight away. We remove your name, contact details, profile, photos, location and availability at once, and your login within a few minutes. Your messages are hidden from the people you messaged straight away. Records the law requires us to keep (above) are kept for their period and then deleted. If something is still in progress, such as a booked shift or money still to be paid, the app tells you what needs to finish first.

Your rights

Under UK data protection law you can ask for a copy of your information, ask us to correct or delete it, object to or restrict how we use it, and ask for it in a portable form. Email info@reliefchefs.co.uk. If you are unhappy with how we handle your information you can complain to the Information Commissioner’s Office at ico.org.uk.

Keeping it safe

Information is sent over encrypted connections. Documents are stored encrypted. Staff can only read a message with a recorded reason, and every such access is logged.

Children

The app is for working professionals and businesses. It is not for anyone under 18.

Changes

If we change this policy we will update this page and the date at the top, and tell you in the app if the change is significant.
